ABOUT MSU ADMISSIONS

The Office of Admissions is responsible for marketing, recruitment, and orientation of new undergraduate students and the maintenance and processing of their records. The office is responsible for upholding Board of Regents and university requirements, policies, and procedures regarding applications for admission, residency, acceptance of transfer credit, and other issues related to enrollment. Responsibilities of this position include all facets of recruitment for traditional and non-traditional age students including strategy determination, interviewing, travel, and written and telephone communications. Extensive travel is required to establish and maintain contact with prospective freshman and transfer students.

DUTIES AND RESPONSIBILITIES
Under general supervision of the Director of Admissions, the person in this position will:
  • Recruit and provide information to prospective students.
  • Develop and maintain positive relationships with high school counselors, community college personnel, community agencies, college/university faculty, and a wide variety of campus offices.
  • Research programs at other schools to develop improved methods of attracting students.
  • Coordinate the preparation and distribution of print materials and electronic media.
  • Represent MSU-Bozeman at college fairs.
  • Transport display materials and publications to various locations on and off campus.
  • Perform related duties as required.
The ideal candidate must have a desire to become a part of a successful and energetic recruitment program, be goal-oriented, be able to organize time, tasks, and record keeping systems, and demonstrate strong interpersonal and communication skills. Incumbent will participate in the overall development of the annual marketing plan and assist with the specific projects and duties assigned.

REQUIRED QUALIFICATIONS – Experience, Education, Knowledge & Skills
  1. Bachelor’s degree, or extensive post-secondary education without Bachelor’s degree plus applicable experience working with college students and programs or activities can be substituted.
  2. Demonstrated experience effectively coordinating/organizing/prioritizing detailed work and meeting deadlines under minimal supervision, while maintaining a positive, effective, and professional approach.
  3. Demonstrated excellent written and customer service skills, including effectiveness, in large group presentation, small group discussion leading, and one-on-one conversations.
  4. Demonstrated experience developing and composing print materials and electronic media.
  5. Demonstrated experience developing and maintaining detailed, accurate record keeping systems (for follow-up to prospective students and travel expenses).
  6. Demonstrated knowledge or experience with academic and extracurricular programs and activities.

PREFERRED QUALIFICATIONS – Experience, Education, Knowledge & Skills
  1. MSU-Bozeman Bachelor’s degree.
  2. Experience with college/university student recruitment efforts.
  3. Experience working on a professional level with high school teachers, counselors, and faculty.
  4. Demonstrated ability establishing and maintaining effective working relationships with an extremely wide range of individuals.
  5. Experience leading and/or coordinating activities with MSU student groups (i.e. – AdvoCats, orientation, RHA, fraternities, sororities, etc.).

  • Possess the ability to perform the duties listed in the above description.
  • Ability to communicate effectively with employees and the public both in person and over the phone.
  • Ability to establish and maintain effective working relations with co-workers and the public.
  • Ability to represent the Office of Admissions and its programs to others in a professional and courteous manner.
  • Knowledge of and demonstrated ability accurately following administrative policies, requirements, and procedures.

Position Special Requirements/Additional Information
  • In accordance with MSU policy, hiring will be conditional upon successful completion of a pre-employment background check.
  • Must have or be eligible to obtain a valid State of Montana driver’s license and possess an acceptable driving record (less than 12 points).
  • Must have or be eligible to obtain a major credit card. Copy of driver’s license will be required upon hiring.
  • Must be able to transport, move, or position items weighing up to 50 lbs.
  • Willingness to travel extensively by both airline and automobile. The typical heavy travel season is September through January, and March through mid-May.
  • Willingness to work nights, weekends, or other non-traditional work schedules as necessary. Travel will consist of 20-25 weeks per year.

General StatementThe Admissions Evaluator II is responsible for reviewing and processing all applications for admission, determining admissibility upon review of data; maintaining the data base including entering data, determining hardware and software need and reporting and verifying data. The Admissions Evaluator II will be expected to work flexible hours on certain occasions, serve on committees in the university community, and to travel on a limited basis.

Duties and Responsibilities
  • Perform all duties in a timely manner while maintaining quality customer service to students, faculty and staff.
  • Evaluate student applications, transcripts, residency, and special needs for new, returning and transfer students. Make determinations regarding Fees, Admission, and Residency. Determine applicant eligibility for admission in accordance with all policies, procedures, regulations and requirements specific to each application type, including:
  • New Student Applications
  • Re-Admission Applications
  • International Student Applications
  • Canadian Student Applications
  • Continuing Education
  • Dual Enrollment/Early Admit
  • Work cooperatively with the PDSO in processing International and Canadian applications to facilitate student immigration process.
  • Serve as a Designated School Official (DSO) for international students.
  • Process Campus Safety files according to established procedures.
  • Process WUE applications according to established procedures.
  • Perform change of major process according to policies and procedures.
  • Process application withdraws.
  • Update applications as requested including changing admission semester.
  • Provide closing with campus visitors to address admission timelines and requirements.
  • Maintain accurate records of past and present applicants, as well as future prospects, through the use of a database. Generate reports and analyses from database. Manage database.
  • Train others on use of BANNER and admissions procedures.
  • Draft and maintain an MSU-Northern Admissions policies handbook.
  • Process, update and send admission acceptance and checklist information to prospective students.
  • Update, maintain and release student holds.
  • Serve as admin support back up.

Required Qualifications – Experience, Education, Knowledge & Skills
  • Associate Degree
  • Minimum of two years office experience.
  • Knowledge of general office practices and procedures.
  • Analytical, supervisory, and organizational skills.
  • Demonstrated ability to deal with multiple assignments and to prioritize work effectively.
  • Dependability and initiative.

Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Knowledge of BOR policy on Admission Standards and Proficiencies
  • Familiarity with academic policies including rules and regulations governing admission
  • requirements.

  • Computer and database expertise
  • Work experience on a college campus, preferably in Admissions, equivalent to two years.
  • BANNER experience.
  • Hobsons Radius or equivalent CRM software experience

DESCRIPTION
The University of Montana Western is searching for an Admissions Representative I.  This position is responsible for the recruitment and enrollment of qualified and talented students. Admissions Representatives report to the Director of Admissions.

RESPONSIBILITIES
Responsibilities include extensive traveling to high schools and college fairs, primarily in the West and Northwest states, interviewing prospective students, building relationships with families, public speaking, application review and follow-up, coordination of campus visit programs, database management and other admissions-related duties.

QUALIFICATIONS
A bachelor’s degree and a valid driver’s license are required.  A demonstrated ability to meet goals and substantive involvement with university life or other university related work experience (or equivalent customer service, database management and event planning experience) is required.  Experience in an admissions office is preferred.

A working knowledge of the block schedule (Experience One), the environment of southwest Montana and majors offered at Montana Western is preferred.  The successful candidate should have excellent demonstrated abilities: in building and maintaining working relationships with college-aged students, data entry within the Banner program, working knowledge of Windows Suite, especially Access and Excel databases, and organization of on and off campus activities and projects.
